RMSA Compatibility and QuickBooks Integration

Visual Retail Plus is RMSA compatible and integrated with QuickBooks.

QB Export Utility
This utility is for those customers who use QuickBooks Pro for their accounting software. It quickly converts and exports financial data out of VRP into a file that is importable into QB pro. Define the QB account name in the appropriate fields, and select the options you need from the following list:

Ignore Tax: This imports the TOTAL sale (including the tax) into the Sales of QuickBooks.
Ignore Pay IN/Pay OUT: Selecting this does NOT import Paid In/Paid Out transactions into QuickBooks.
Consolidate Layaway: Selecting this creates ONE “customer job” called “Layaway Customer” in QuickBooks and totals all layaway balances into this customer. If not selected, a customer is created for each existing layaway, along with balance due as an A/R entry.
Ignore COGS: Selecting this causes the system NOT to import Cost of Goods Sold into QuickBooks.
Ignore A/P: Selecting this causes the system NOT to import A/P transactions (Receiving) into QuickBooks.
Process:
Creating Accounts
It is recommended that you back up your QuickBooks data before using this utility.

Step 1.) Open VRP and go to tools > utilities.
Step 2.) Select a filename for the export, the default filename and path is C:\QBEXP.IIF. 
This file contains general ledger accounts.
Step 3.) Open your company in QuickBooks.
Step 4.) Select File > Utilities > Import.
Step 5.) Enter the filename of the export file that was created in step 2, and select “Open.” 
The QuickBooks account is now created.
Currency (General Ledger) Setup:
Enter VRP, go to Settings in the top menu and select currencies table.

The last column of the table is the GL account. Type in the QuickBooks General Ledger for this method of payment. (I.E. Visa & MasterCard are listed separately in the MOP column, but you wish to see them totaled together in QuickBooks. Enter Visa/MC as the G/L account for both Visa & MasterCard method of payments. Note: In the event that this process is not done, the system automatically copies the current method of payment as the GL account.
Select Bye-Bye to save & exit.

Exporting/Importing VRP transactions to QuickBooks:

Step 1.) In VRP, select Tools > utilities > QB export utility.
Step 2.) Select Options from the checkboxes. (See above for definition of function.)
Step 3.) Enter the date range for the transactions you wish to export.
Step 4.) Enter the export file name (Default C:\QBEXP.IIF)
Step 5.) Click on the create export file.
Step 6.) Click on Bye-Bye to exit.
Step 7.) Open the company in QuickBooks, go to FILE > UTILITIES > IMPORT.
Step 8.) Enter the path and filename of the export file you created in step 4, and click.

QuickBooks is now updated with VRP transaction information.

**NOTE: Do not export/import a date range more than once or a duplicate record is created in QuickBooks.**
